Terms and conditions for Light Rail Day 2024

Light Rail Day, 27.+28.05.2024 in Tampere/Finland

Comprehensive legal conditions are necessary, please carefully read the trade terms and conditions, which also contain information about our data policy. It is also necessary to allow the organiser to send you unsolicited emails through the system. Otherwise, we will not be able to notify you about changes or be able to confirm your registration etc.

1 The organiser
Hereinafter referred to as the "organiser"

Please note, that in 2024 the organiser as a Danish company with an event in Finland needs to ad Finish VAT to the invoices. The organisers finish VAT no. is: LightRailDay.com ApS- Finish VAT no.: FI 31212065

2 Accept
Trading on http://www.lightrailday.com may only take place if the user declares that he agrees with the trade terms and conditions applicable to the arranger. To trade with the arranger, the user must be 18 years or older.

3 Order and payment
When we have received your order and payment, you will immediately receive an order copy by email. This will show which event and possible options you have been offered and at what price. We recommend you print out and save your message; this is your offer request. If there are still vacant places for the required event with the desired options, you will receive an order confirmation per email. This will confirm that your offer has been accepted. The organiser can only deliver as long as there is a vacant place for the event and if any options are still available that have not yet been sold-out. Please note that a final purchase agreement has not been entered until you have received the order agreement from the organiser. Payment can be made by VISA and MasterCard depending on the organiser's agreement with the card companies, or with EAN (Danish companies only) or by bank transfer. The organiser will not take payment until the order confirmation has been sent. When paying by card, a fee will be added to your order.
If you make your payment more than once, a processing fee of €45 net will be withheld from the refund to cover bank fees and our administration costs.

4 Invoice
Please note that the invoice will be sent by the company “LightRailDay.com ApS”.

5 Cancel/right of cancellation

Most of our customers sign up as an employee on behalf of their employers. In this case orders can be cancelled up to 2 months before the event starts. Cancelling your order will result in an administration fee of 45, - € net being charged. Orders cannot be cancelled or reversed less than 2 months before the start of the event. No refunds will be given unless the event is cancelled. The customer can send another person on his behalf.

But of course, we adhere to Danish law. If you sign up to our events as a private person, you have the right to cancel your order up to 14 days before the event starts. Please note, if your employer pays for your participation or if the invoice recipient or if you as a person are VAT registered (Danish: momsregistreret), then you can’t be treated as a private person.

6 Refunding, Pandemic rules and conditions

All refunds will be issued by bank transfer.

As an organiser, we do everything possible to carry out the event as planned. But everybody needs to follow rules from the authorities and local hosts. If these rules limit the possibility of holding the event as planned, the organiser cannot be held responsible in any way. This also excludes the right to repayment of payments made and further claims. But, if the event in total has to be canceled, there is the right to repayment or a voucher for participation in 2024. Please note, that a necessary postponing of the event is not a cancellation.

7 Responsibility
In some cases Stripe receives payments on behalf of the organiser.
All requests for information and inquiries about the organiser's products, services, non-provision of services etc. are to be made to the organiser.

8 Photos, films and pictures, participant list
It is permissible to take photos without flash during the event. A photographer may take recordings like pictures, photos, films, TimeLaps and so on during the event on behalf of the organiser or/and the main sponsor. These recordings may be used in public such as on the Homepage or in the organisers and main sponsors newsletter. During the event a participant list on paper is provided to all participants. This list contains your name, E-mail, Company name and Country. By registering for our event, the customer agrees that recordings incl. photos and films of his person be made and that the organiser has the right to publish these recordings. This right is free of charge and temporally and spatially unlimited to the organizer. By registering for our event, the customer agrees in that his data will be published on the participant list.

9 Governing law and jurisdiction
The terms and conditions shall be construed in accordance with Danish law with the exception of the Danish conflict of law rules. Any dispute arising out of or relating to the Terms and Conditions and/or the use of Stripe shall be settled under Danish law with the exception of the Danish conflict of law rules.
If the parties cannot agree on resolving a dispute, such dispute shall be settled by the Danish courts of law.

10 Data privacy

The use of www.lightrailday.com is subject to our terms and conditions. If you cannot accept the terms and conditions, we request you exit the website and make no further use of it.

The information we may collect
You do not have to give LightRailDay.com ApS any personal information in order to use most of this website. However, you may choose to do so on various sections of our website, including:

- downloading documents; subscribe to newsletters and/or register an interest in events as Webinars, Study Trips, conferences, seminars; and the ‘contact’ section.

We may collect and process your personal information, such as your name; job title; address; and e-mail, mobile phone and other contact details. Normally this will be your company address. In a very few cases we use your private address, for example if you are retired and still want to stay in touch with us.

How we use your personal information
LightRailDay.com ApS will use your information to improve our marketing, for administration, for recruitment and to provide legal services. Your data is mostly used for Newsletters and normal mail like postcards.

LightRailDay.com ApS will not pass your personal information on to third parties without your prior consent, unless we are forced to do so by law. But we will give your data to partners, helping us with our activities like marketing. That could be a letter-shop, printing your address on our postcard or a bureau, sending a newsletter to you on our behalf.

Your rights and responsibilities
It is your responsibility to ensure that your personal details are accurate and up to date and to inform us of any changes that need to be made.

You have the right to request details of the information LightRailsDay.com ApS holds about you upon written request. If you want to be deleted from our lists, please send a mail to Bernd Reuß, br@lightrailday.com. Bernd is the responsible for data storage at LightRailDay.com ApS.

Cookies

Cookies are used to manage some of the functions on our website. These are small text files which are saved locally in your browser's cache and which are only used locally by this program.

Blocking and/or control of cookies
Depending on which browser you use, there are various ways of preventing cookies from being saved on your computer and of blocking, displaying and deleting any existing cookies. If you have difficulties with any of these processes, we suggest you consult the website of the relevant vendor where you will find the information you require. Even if you decide to block the storage of cookies on your computer, you will still be able to access our website.

Web server logs
All of the information gathered for the purpose of optimising our website is collected by the aforementioned web analysis tool. As such, the web server does not log the visits to our website. You can therefore visit this website without any privacy concerns. You will remain anonymous for the course of your visit.

Collection, processing, use and transmission of personal data
We may request the provision of personal data when it is necessary for dealing with your enquiries or requests for information. In sending the form you are giving consent to the relevant company department to process your personal data in order to deal with your enquiry.  Your personal data will not be passed on to third parties unless this is permitted by law. There is one exception: during the event a list of participants will be provided on paper to all participants and may contain first name, last name, e-mail, company and country.

Security
We would like to remind you that data transmission via the internet is not secure and so there is always a risk that it may be intercepted and used by third parties. You can always contact us by post or by telephone if you prefer.

Minors
Children under the age of 14 may not send personal data to us over the internet without the permission of a parent or guardian. Please note that our website is not designed or intended for use by those under the age of 18. We will not knowingly collect any personal data from persons under the age of 18.
